We are partnering with our client to hire a proactive Practice Operations Manager who will own front-desk operations, guide the administrative team, and keep a growing pediatric therapy practice running smoothly.

This role is both hands-on and leadership-oriented: you’ll direct front-office workflows, oversee the afternoon front-desk team, coordinate scheduling and intake, and assist with weekly medical billing functions (about 10 hours/week). Billing support is approximately 25% of this position, and we're happy to train the right person. The larger focus being a warm, organized, and social presence at the front desk. 

This role is perfect for someone who’s not just reliable and consistent (yes, please!), but also upbeat, friendly, and excited to make a difference behind the scenes.  Your leadership ensures therapists stay focused on patient care — while families experience a warm, organized, and efficient clinic.  

What You’ll Lead & Own

• Front Desk Leadership
  • Provide daily direction for front-desk operations and support the afternoon shift as the on-site lead
  • Ensure phones, check-ins, messages, and follow-ups are handled consistently and professionally
  • Keep intake paperwork moving — no bottlenecks
  • Actively monitor openings and help fill schedules (we have a waitlist)
  • Mentor, coach, and model a calm, welcoming, professional front-office culture
• Scheduling & Coordination
  • Coordinate appointments, cancellations, and reschedules with accuracy
  • Partner closely with therapists to ensure families understand next steps
  • Track and improve key metrics (attendance, cancellations, utilization, collections)
• Billing Administration (≈10 hrs/week)
  • Assist with billing processes in collaboration with the Billing Supervisor and the administrative team  
  • Receive ongoing training and support; this role does not work independently on billing decisions
  • Help process claims, verify insurance, and post payments
  • Support follow-up on denials and outstanding balances
  • Maintain accurate billing documentation and confidentiality
  • Work in a dedicated space away from the front desk when completing billing tasks
• Leadership & Systems Improvement
  • Anticipate needs and suggest improvements before issues arise
  • Help roll out new processes and tools
  • Serve as a liaison between clinical and administrative teams
  • Support operational planning as the practice expands

Schedule

• Typical hours are 7:30 AM – 4:00 PM (with some flexibility at the end of the day).
• Reliability to open the clinic each morning is essential.
• This role may occasionally support basic entryway upkeep.
  

Compensation & Benefits

• Hourly: $24–$28 (depending on experience)

Introduction:

We are seeking a compassionate and skilled Occupational Therapist Assistant to join our team and provide occupational therapy services to clients in our private practice pediatric clinic. The Occupational Therapist Assistant will be responsible for assisting the occupational therapist with the implementation of treatment plans, communication with families and caregivers, and providing ongoing support and monitoring to ensure progress. The successful candidate will have excellent communication and problem-solving skills and be able to work collaboratively with other team members.

Responsibilities:

• Assist the occupational therapist with the implementation of treatment plans, including assisting with therapeutic activities 

• Communicate clients' progress and provide family/caregiver education as indicated

• Provide ongoing support and monitoring to ensure progress, including conducting follow-up meetings and check-ins

• Maintain accurate and up-to-date records of clients' and progress

• Collaborate with other team members to ensure continuity of care and services

• Other duties as assigned

Qualifications:

• Associate's degree in Occupational Therapy Assistant

• Minimum of 1 year of experience as an Occupational Therapist Assistant or in a similar role with children

• Excellent communication and problem-solving skills

• Ability to multitask and handle a high-volume workload

• Ability to work collaboratively with other team members

• Valid driver's license and reliable transportation are a plus
